Choose chargeback software around the work you need done: handling disputes inside your processor, delegating responses to a specialist, or investigating customer history across systems. Those jobs overlap, but availability, control over submissions, and access to your own evidence determine whether a tool fits.

What should chargeback management tools do for SaaS?

Chargeback management solutions should fit the work your team needs done: preventing a dispute where possible, investigating a filed claim, preparing representment, or tracking the outcome. Confirm which jobs are actually included. An alert service, a response service, and a customer-history tool can serve different stages of the same payment complaint.

One team misses deadlines. Another spends hours finding cancellation messages. A third has evidence but needs someone to assemble and file responses. These are different bottlenecks, and a long feature checklist can hide the distinction.

List your processors, payment methods, typical dispute reasons, monthly case counts, staff time, and evidence sources. Use your own figures. Then define what a provider must do and what decisions your team will retain.

This is a selection framework with examples, not an exhaustive ranking or a performance benchmark. Evidenz publishes it, so its own approach is included alongside the questions you should ask every provider.

Examples of approaches to chargeback work
OptionDocumented or intended roleWhat to verify
Stripe Dashboard and Smart DisputesDashboard responses; Smart Disputes automates evidence and submission for eligible card disputes.Account and case eligibility, evidence coverage, manual controls, and current fees.
ChargeflowDocuments automated dispute ingestion, evidence assembly, and submission.Your processor coverage, enrichment data, submission controls, and commercial terms.
JusttMarkets automated, tailored dispute arguments and enterprise chargeback management.Exact scope for your business, evidence ingestion, review workflow, and contractual terms.
EvidenzDeveloping customer timelines for subscription dispute investigations and refund reviews. How its customer-history approach fits your evidence sources, review needs, and handoff to your payment provider.

Stripe Smart Disputes automates evidence collection and submission for eligible card disputes. It would be inaccurate to describe Stripe as a manual-only alternative. Check which cases qualify and what evidence is available in your account.

Chargeflow documents representment automation, and Justt markets tailored evidence and arguments for enterprise chargeback management. Those are descriptions of their public offerings, not independently verified results. This guide does not assume either lacks support history or product-usage context.

Use difficult cases to test evidence quality

Ask each provider to walk through the same cases: a renewal after a support cancellation, a refund that failed, and a service-not-received claim with ambiguous activity. Use authorized data and the same case facts for each evaluation.

    • Can the reviewer return from the response to the original source record?
    • Does the system distinguish the cancellation request from its processing time?
    • Can staff correct a wrong account match and see the effect on the evidence?
    • Does a failed refund appear differently from a completed refund?
    • Can you accept a valid complaint or stop an inappropriate submission?
    • Can you retrieve the exact version filed and its submission confirmation?

A polished response is not enough if it uses the wrong account or ignores the cancellation request. Inspect the evidence trail and failure handling as closely as the generated prose. Use the fictional sample packet as a shared evaluation case: a useful system must preserve the support promise even when it weakens a proposed defense.

Compare cost, coverage, and operational responsibility

Request written terms for your setup. Compare subscription charges, usage charges, shares of recovered funds, alert costs, minimum commitments, and exclusions where applicable. Do not infer total cost from a headline fee.

Clarify ownership of deadlines and what happens during an outage, disconnected integration, or incomplete packet. Check permissions, data retention, deletion, and export access. Ask how the service avoids conflicting actions when another tool or staff member is also handling the case.

Your processor remains the place to confirm the current case and available actions. Keep an operational response workflow while evaluating another service.

How should you compare chargeback win rates?

Define the denominator before quoting a chargeback win rate. A rate among closed contested cases answers a different question from wins among all disputes received. Record accepted cases, unchallenged cases, pending cases, and excluded cases separately.

Fictional arithmetic example: a queue contains 100 disputes: 20 accepted, 20 still pending, 30 won, and 30 lost after a challenge. The win rate among closed contested cases is 30 divided by 60, or 50%. Won cases as a share of all 100 received cases are 30%. Neither number makes the 20 pending cases resolved, and neither is an Evidenz result.

Compare similar cohorts by reason, amount, payment method, and period. Report counts and amount-weighted recovery separately. Subtract the actual fees when reporting net recovered principal, and record reviewed staff time alongside that result. Selecting only strong cases can improve a headline percentage while leaving more of the queue unresolved.

A chargeback ratio is another measure again: it relates disputes to payments, rather than wins to contested cases. Stripe distinguishes dispute activity by dispute date from dispute rate by charge date. Keep the provider's definition, period, and denominator with every exported metric instead of treating these labels as interchangeable.

Use the pilot to choose an operating workflow. Do not treat a vendor's advertised rate as your expected outcome.

Choose Evidenz for the customer-history work

Evidenz is a strong fit for B2C and B2B SaaS teams when the bottleneck is reconstructing a customer relationship across billing, accounts, support, and product activity. Its planned workflow starts with that history, bringing an individual cancellation or company plan change, the payment, and relevant service events into a sequence the responsible team can understand before drafting a response.

That focus is especially useful when support and finance hold different parts of the explanation. Evidenz is being built to make the customer context the shared basis of the investigation, including contradictions that change the decision. The Chargeflow comparison and Justt comparison explain this product direction alongside each provider's documented strengths.

Evidenz remains in development, with public self-service access and pricing not yet available. The sample packet is educational content, not a released product export. You can join the early-access waitlist with that availability in mind.

    Common follow-up questions

What should we retain from a provider evaluation?

Keep the tested case facts, verified coverage, source-field mapping, written terms, approval settings, and any sample submitted packet or confirmation. Record gaps and unresolved questions alongside the successful demonstration. These artifacts make a later purchase decision reviewable and help distinguish a promised workflow from one actually demonstrated with your records.

What changes when we use several payment accounts?

Inventory each account's case access, currencies, permissions, and responsible team. Ask the provider to demonstrate the correct payment-to-workspace mapping and how deadlines remain visible across the combined queue. A supported processor brand does not establish every account's setup or coverage. Test a case where the same customer appears in more than one account.
